Supplier readiness: what buyers actually check before awarding work

Being the cheapest quote is rarely the reason a supplier wins. Being ready is.

Documents come first

Company registration, tax status, banking confirmation and B-BBEE documentation are the first filter. If a document has expired, the quote does not get read. Keep a single folder with current versions and check it every quarter.

Capacity has to be believable

Buyers look for evidence that you can deliver the volume you promised. That means references, past delivery records and honest lead times. A supplier who quotes a realistic four weeks beats one who promises two and delivers six.

Pricing needs structure

Break the quote into line items. Show unit price, quantity and total. Buyers compare like for like, and a single lump sum makes that impossible.

Then keep the relationship warm

Registration is the start, not the finish. Suppliers who check in, update their capability profile and respond quickly to requests get called first when work comes up.
